Planning Administrator – Event Logistics & Design

About the role

The Planning Administrator supports the Hospitality Manager in coordinating event logistics and visual design for luxury event spaces. This hybrid role blends administrative planning with on‑site aesthetic execution to ensure every buffet, plated dinner, and corporate event runs smoothly and looks cohesive.

Key responsibilities

• Manage the Dry Goods administrative process, operational pull sheets, and equipment planning for assigned events.
• Coordinate food vessels and custom disposables, and design layouts for food and beverage stations to achieve a high‑end, unified appearance.
• Type and print all guest‑facing collateral, including custom food labels, tasting menus, directional and station signage, in line with brand standards.
• Serve as the primary liaison between Event Producers and the operations team, updating paperwork in real‑time as guest counts or menu details change.
• Conduct monthly inventories of special‑order vessels and design elements to keep sales and operations teams accurately stocked.
• Follow strict production timelines while continuously seeking improvements to operational standards.

Required profile

• Strong coordination ability to act as the link between Event Producers and operations staff.
• Attention to detail for managing inventories and ensuring visual consistency across event spaces.
